Administrative Assistant / Marketing Support Position

Job Description

We are seeking an organized and proactive person to join our team. In this role at RMC, you will play a crucial role in supporting the smooth day-to-day operations of the office, providing essential support to architects, designers, and office management. Your role will help streamline office processes and allow our team to focus on delivering high-quality design solutions.

Key Responsibilities

  • Marketing tasks, including designing proposals in InDesign, managing social media accounts, updating a CRM database, and scheduling photoshoots of new projects
  • Office management, including ordering supplies
  • Reception duties, including greeting guests, answering phones, distributing mail, scheduling conference rooms, and maintaining an out of office calendar
  • Transcription and proofreading of memos, meeting minutes, and other documents
  • Creating and updating project and staffing schedules
  • Assisting HR/IT with onboarding new employees
  • Running the Social Committee, which plans and organizes company events

Qualifications

  • High school diploma or equivalent; associate’s degree or higher in related field preferred
  • 2+ years of administrative or office support experience, preferably in an architecture or design firm
  • Strong organizational skills with the ability to multitask and prioritize tasks
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Proficient in Adobe InDesign
  • Excellent verbal and written communication skills with a professional and personable demeanor
  • Attention to detail and a proactive approach to problem-solving
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Ability to work independently
  • Adaptable and able to switch gears quickly
